Privacy policy of the ‘Ramtorenschip Buffel’ Foundation

As of May 25, 2018, the new General Data Protection Regulation requires organizations to provide a number of answers that must be included in the privacy policy. Below is the privacy policy of the ‘Ramtorenschip Buffel’ Foundation

1. The purpose of storing personal data is to be able to write to volunteers, sponsors, partners and relations. This includes sending out announcements and invitations, keeping track of anniversaries and sweethearts, keeping statistics, inviting existing sponsors for a new donation and sending the newsletter.

2. The board is responsible for the protection of personal data

3. The following personal data are included in the file and an overview is provided:
Name, address, place of residence, telephone number, email address, volunteer start date. Name, address, telephone number, email address, sponsors’ bank account number. List of suppliers.
The private members page of the Foundation’s website (www.debuffel.nl), which is password protected, includes a volunteer list containing the following information: Name, address, place of residence, telephone number, email address, volunteer start date. This list is also sent to the municipality of Hellevoetsluis after each update for the collective municipal volunteer insurance.

4. No special personal data is stored, such as religion or belief, race, political opinion, health, sexual preference, membership of a trade union or political party, criminal personal data and personal data about unlawful or annoying behavior in connection with a ban imposed as a result of that behaviour, genetic and biometric characteristics. The latter includes fingerprints, voice, handwriting, geometry of the hand circumference and scans of the retina, iris and face. No legal exception rule applies.

5. The volunteer and sponsor agreement indicates how the address data will be stored and that this data will not be provided to third parties (with the exception of the municipality of Hellevoetsluis). Sponsors will only be shown on the website after written permission (possibly with company logo).

6. The following text is included in the “Buffel Volunteer Registration Form”: We will treat your privacy data with care.
Do you agree that your name, telephone number and email address will be passed on to the municipal volunteer bank in connection with: volunteer insurance? Yes / No (delete what is not applicable).
Do you agree that the same data will be shared with fellow volunteers in the so-called call/mail list? : Yes No. Do you agree with the Privacy Policy of the ‘Ramtorenschip Buffel’ Foundation? : Yes No.

7. Upon request to the treasurer or secretary, the volunteer or sponsor will be given access to his or her registered data (where the data of others has been made illegible).

8. The address details are stored on the ship’s computer (office) and the computers of the chairman, treasurer and secretary and are protected with effective passwords. This data is also visible in the secure environment of the website. (Only accessible to board and volunteers).

9. The secretary and treasurer regularly make a backup of the data file and send a copy to the chairman. A backup of the data file is also stored in a secure environment.

10. The document is password protected. The PCs are adequately protected with anti-virus and anti-malware programs.

11. The chairman, treasurer and secretary have access to the files containing personal data.

12. The treasurer is the data protection officer within the organization.

13. No agreements are concluded with third parties who use the personal data for their own use.

14. In the event of possible data leaks, the treasurer or secretary will, as soon as they have been informed, inform volunteers, relations, partners, sponsors and customers of the data leak.

15. If you (visitor) want to purchase entrance tickets online, by telephone, or make an online reservation for a rental or group visit, we ask you to provide personal data. This information is necessary and used to provide the service, such as sending the cards to your email address and preparing a quotation, invoice or sending a confirmation and evaluation. The information you provide or provide via other functionalities is stored in our database and we may use it for research purposes. We will comply with all applicable data protection laws and regulations. We do not store your personal data for longer than is necessary to achieve the purposes for which the information was obtained. We do not share your information with third parties. We attach great importance to good security of personal information and appropriate technical and organizational measures have been taken to protect this data against loss or any form of unlawful processing.

16. De Buffel is equipped with camera surveillance, the images of which are recorded using a data recorder. These images are kept for a maximum of 1 month and then deleted. The images are not provided to third parties, with the exception of images on which criminal offenses have been recorded, which can be made available to the police and/or public prosecutor’s office upon request, subject to the applicable legal restrictions. An overview of the camera positions and monitor on board is shown in the overview below.

* Security company BMC and a number of selected volunteers (responsible for opening and closing) have access to camera surveillance images through a login code and password.
